Invitations

An invitation is the easiest way to bring someone in: you type their email address and the spaces they should join, and they set up their account themselves, with a password nobody else knows.

Who can invite

Anyone whose role may add and remove members of a space can invite into it.

Inviting someone

From a space:

1. Go to Settings > Members and click Invite at the top right.
2. Type the person’s Email.
3. Choose their Role in this space.
4. Click Send invitation.

From Settings > Users (administrators only):

1. Click Invite at the top right.
2. Type the person’s Email.
3. Tick every space they should join and choose a role next to each one. Leave all unticked to give them an account without spaces.
4. Click Send invitation.

You should see the message “Invitation sent to” followed by the address. The person gets a mail ”… invited you to Manablox” with a link. The link works once and for seven days.

Note

If your installation cannot send mail, no mail goes out. The dialog shows the invitation link instead: click Copy and send the link to the person yourself, in a safe way. It is shown only this once.

Accepting an invitation

The person opens the link from the mail. The page shows who invited them and into which spaces.

• Someone new types their name and a password of at least 12 characters twice, then clicks Create account and join. They are signed in right away and see the spaces they were invited to.
• Someone who already has an account with that address clicks Sign in, signs in as usual, and then clicks Accept invitation. The spaces are added to their account.

If they are signed in with another account, the page offers Switch account.

Open invitations

Invitations that were not accepted yet are listed under Invitations, below the members of a space, and below the accounts under Settings > Users. Each shows the address, the role or spaces, and until when it is valid. An expired invitation is marked Expired.

• Resend sends a new link and makes the old one stop working. Use it when the mail got lost or the invitation expired. Without mail, the new link is shown to copy.
• The trash button revokes the invitation: the link stops working. You can invite the person again later.

When the space is full

If your plan limits how many people may use a space or the installation, Manablox checks the limit twice: when you invite, and again when the invitation is accepted. When the limit is reached, inviting says so, and accepting fails with a message and changes nothing. Once a seat is free again, the same link works.
